The problem

Returns don't stall on tax law. They stall on missing paper.

Your team spends the season sending reminders, making calls and checking what came in. It's work nobody can bill for, and the people who used to do it are hard to hire.

59%

of tax pros say stalled extensions come from missing documents or records.

Your portal's reminder

“Please upload your tax documents.”

The client doesn't know what's missing, so they wait. You call them in March.

Remi, your AI document coordinator

“Hi Maria, we have your W-2 and 1098. Still missing: your 1099-DIV from Fidelity. Reply with a photo and you're done.”

A specific ask, on the channel the client already answers, followed up until it arrives.

The roles

Hire one role, or the whole back office.

Remi takes on one role or several. Each has a job description and a weekly report, like a new hire, and a human sets it up and watches over it.

Start here

Client Document Coordinator

  • Builds each client's checklist from last year's return
  • Collects documents from email, text and your portal, and checks them against the list
  • Follows up politely until every file is complete
  • Sends you a weekly list of files ready to prep and who needs a human

All year

Month-end Close Coordinator

  • Asks each bookkeeping client for the exact statements and receipts missing this month
  • Chases until they arrive; no more duplicate or wrong-month uploads
  • Flags uncategorized transactions for your review

Phones and inbox

Front Desk and Intake

  • Answers calls and messages, books appointments
  • Screens new clients and collects what you need before the first meeting
  • Sends engagement letters and tracks signatures

Cash flow

Billing and Collections

  • Sends invoices and friendly reminders on schedule
  • Collects retainers and extension fees before work starts
  • Tells you who is overdue and by how much

Bookkeeping and fractional CFO firms can add a Client Growth role that runs your referral program, wins back lapsed clients and asks happy clients for reviews.

How it starts

Live with 20 of your clients in two weeks.

  1. A 30-minute call

We go through your tools, your season and where the chasing hurts most.

  2. Setup, done for you

I connect your email, text and portal. You approve every message template.

  3. Pilot on 20 clients

Free. It runs on real clients before your organizers go out.

  4. Weekly scorecard

Files ready to prep, what's blocking the rest, and hours of chasing saved.

Pricing

One flat monthly fee. The AI is on us.

You're hiring a role, so you pay like you would for staff: a fixed amount each month. No seats, no token costs, no surprise renewals.

  • A direct line to me

Full back office

$3,500 / month

  • Documents, month-end, front desk, and billing
  • About the cost of one admin, without hiring or turnover
  • Quarterly review of your workflows

12-month agreement, billed monthly. Setup is free for the first 3 firms in exchange for a case study. If Remi misses the target we agree on, the next month is free.

What it never does

Remi does the follow-up. You do the tax work.

  • Never prepares returns or touches your tax software
  • Never gives tax advice; anything beyond a document request goes to your team
  • Never writes to a client outside the templates you approved
  • Never pretends to be a person: it always introduces itself as your AI assistant
  • Never sends you a usage bill

Your client data

Handled the way your WISP expects.

  • Written vendor agreement with a breach-notice clause
  • MFA and encryption on every connection
  • AI providers that don't train on your data
  • A one-page security sheet mapped to IRS Publication 4557

Who you'll work with

Built and run by a person you can call.

I'm Gustavo Veloso, the founder of Remi and a senior software engineer who has built for US companies since 2021: PayPal's checkout SDK, payment services used by hundreds of thousands of gym members a day, and AI agents for customer support.

I set up Remi for every firm myself, review its work every week, and answer when you call. No support queue.

Questions owners ask

Before you book

We already send reminders from TaxDome. Why add this?

Keep them. Portal reminders send the same message on a schedule. The coordinator reads what was uploaded, knows what's still missing for each client, and asks for that item by name. It works on top of your portal.

AI tools burned us before. Why is this different?

Most of those tried to prepare returns. This never touches the return. It does the chasing, sorting and reminding your staff doesn't want to do.

What if it says something wrong to a client?

It writes only from templates you approve, only asks for documents or payments, and hands anything else to your team. Every message shows up in your weekly report.

Will clients know Remi is AI?

Yes. Remi signs every message as your firm's AI assistant, and any client can ask for a person at any time. The IRS's 2026 guidance on AI asks firms to be open about it, and we give you a short, plain-language note you can send clients before the season.

We're slammed. Do we have time to set this up?

Your part is one 30-minute call and approving the message templates. I do the rest, and the pilot starts before your busy season does.
